Introduction
Supplemental pages are simple web pages used to provide readers with information about your archive, it’s management and governance. This information should be for audiences that are both familiar with or new to your organisation and archival objectives.
Supplemental pages are public-facing, meaning they are accessible to visitors of the archive from the Welcome page and can be viewed without the need to login. They are also accessible from hyperlinks in the Main Menu too, when a user has logged in.
There are four supplemental pages, they are as follows:
- About – a page to provide background information about your organisation and archive. Typically, this would include general statements that attempt to answer the ‘Who’, ‘What’, ‘When’, ‘Where’, ‘How’ and ‘Why’ questions for the archive.
- Terms – a page to set out how users can and cannot use the archive and its content. A statement that covers topics such as the conduct and obligations of archive users, copyright, intellectual property, privacy (see the Privacy policy page), liability, warranty/guarantee, complaints handling and so on.
- Privacy – a brief legal statement outlining how your organisation will respect archive user’s privacy, keep their personal details secure, and not misuse their personal information.
- Contact – a page to provide contact details for the organisation administering the archive. It should explain situations as to why someone should contact your organisation, such as account requests, and describe how your organisation can help resolve user’s issues.
You may need to consider the wording of these pages carefully. Perhaps seeking legal advice would be a sensible option too. Keeping Culture can provide you with information about various technologies used and the types of information recorded in system logs, but largely these statements relate to your organisation, archive users and content.
A supplemental page is made up of a page title, header image and page text or copy. The header image is optional and is set using the archive number of an image-based archive item. Each page has its own URL, making it possible to link to the page from other resources.
Important: The supplemental pages of a portal archive are independent from the main archive. This allows you to provide portal specific information on the supplemental pages of each portal. However, you will need to login and apply your changes in each portal, as changes made to supplemental pages in the main archive do not flow through to portals.
